This page explains what we collect and what we do with it. We have tried to write it in plain English rather than the usual wall of text.
What we collect
- Your name and email address, so we can send your report.
- The contract you upload. A contract of sale and Section 32 contain other people's information too — the seller's name, the property address, title details.
- The date and time you uploaded, and the fact that you ticked the consent box.
- Basic technical information such as your IP address, kept for security.
What we do with it
We read your contract to produce your report, and we email that report to you. We copy in a licensed conveyancer from our panel, who receives the same report and may contact you about it. You agree to that when you tick the consent box, and it is the only sharing we do.
We do not sell your information. We do not use your contract to advertise to you.
Where your contract is processed
Reading a contract involves AI services and cloud services. Some of these providers process documents on servers outside Australia. In practice that means your contract may be handled overseas while your report is being written.
We tell you this plainly because Australian privacy law expects us to, and because you should know before you upload rather than afterwards. If you would prefer your contract not to be processed overseas, please do not upload it — talk to a conveyancer directly instead.
How long we keep it
- Uploaded contracts: deleted after 30 days.
- Your report and the record of your consent: kept longer, so we have a record of what we sent you and what you agreed to.
- You can ask us to delete your information sooner. Email us and we will.
Improving the service
We check how well the system reads contracts, and licensed conveyancers help us review that work. Where contract material is used for this, it is handled confidentially and identifying details such as the address are removed before anyone outside the team sees it.
Your choices
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email support@ai4convey.com.au and we will respond within a reasonable time.
If you are unhappy with how we have handled your information, tell us first. If we cannot sort it out, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Security
Uploads go over an encrypted connection and are stored in private storage that is not publicly readable. No system is perfect, and we would rather say that than promise otherwise.
